Becoming an Exhibitor
Midwest GameFest Online is a great opportunity to showcase your wares. Our Spring online event features hundreds of hobby gamers, cosplayers, and "nerd culture" enthusiasts looking for the newest games, accessories, and materials.
Booths are purchasable online once your online exhibitor application is approved. Each booth comes with two exhibitor badges, which allows one member of a two-person crew to play games while the other handles the booth. All exhibitors receive mention in our PDF convention program, website, emails, and social channels. Both a text and voice/video channel are provided at the online convention in Discord (see below).
Getting Started
Fill out an Exhibitor Application and let us know your business name, contact info, what you are selling, etc. All applications are subject to approval. We'll get back to you with additional instructions. Note: Submission of an application means that you agree to our terms and conditions.
Important: Exhibitor applications open May 1, 2023, and end December 1, 2023, or until booth space is filled.

Discord Server
While our Spring in-person event is hosted in Kansas City, our Fall online event is hosted via Discord, a free text, audio, and video service. Discord is a web-based service that also has great desktop and mobile apps. You don't need anything more than the cell phone, tablet, or web browser you're using right now. There's nothing to download or hook up, but a mic and headset would be great. We use a number of online virtual tabletops (VTTs) including Roll20, Foundry, Fantasy Grounds, Tabletop Simulator, and more (game hosts decide).
Pricing
Virtual Booths – $25
- Your own “virtual booth” online at our venue on Discord. This will be both a text and audio/video channel for you to engage attendees.
- Two 4-day exhibitor badges and promotion in our materials.
- Important: We know your time and money are important to you, and we also know that "foot traffic" at online conventions is low... too low. But if a booth is what you want, we have them. But we strongly recommend hosting events to showcase your wares (a game demo, a product demo, etc.) and using your booth channel as the text/audio/video. It can also be a place to post messages and promos during the convention. There will be lots of downtime in a virtual booth, so plan to multi-task by doing something productive or entertaining, but to also be available for walk-up customers. Also, consider becoming a Sponsor to get additional exposure.
Exhibitor Credit for Prize Donations
Part of your payment can be accepted in the form of tabletop gaming-related merchandise donated as prizes for our benefit raffle. We value prize donations at 100% MSRP (subject to acceptance/approval); we can accept up to 100% of your total bill this way. Electronic merchandise donated in this manner (certificates, coupons, etc) must be received prior to the event's arrival unless other arrangements are made. Claiming Your Discount
Once your application is approved, you will receive an email with a link to purchase your booth and any booth options. You specify your discount code during the booth selection process. So, if you had a bundle of current books whose MSRP was $200, we would count that as a $200 credit toward your booth purchase. Use the discount code that most closely matches.

Some Fine Print
Every exhibitor is granted a 3-month Class II membership to The Role-players Guild of Kansas City starting the first day of the convention. This is a non-voting, convention-only class of members. For more information, visit the RPGKC website.
By attending, exhibitors agree to abide by our Attendee Terms and Conditions and our anti-harassment policy.
By attending, exhibitors consent to be photographed incidentally (e.g. in the background of another's photo/screengrab). We encourage attendees to request permission from others before directly taking their photographs or screen grabs. Photographic harassment can lead to expulsion from the convention.
Helpful Application Tips
Login or create an account with the Start Application button above and create a new application to let us know what you have in mind. If approved, you'll get an email with a link to come back, choose booths and options, and complete payment.
Important: You will need a 2000x2000 pixel logo. If you don't have one available, you can download a placeholder.
Virtual Move-In and Move-Out
Important: Exhibitor load-in begins at 10am December 7, 2023.
We'll work with you prior to the event to answer questions and get your booth up-to-speed. But on opening day the earliest arrival/load-in time will be Thursday morning at 10am. That means that folks will be available to assist you with your virtual booth at that time. We might be able to accommodate an earlier time, so coordinate with us via an email to This email address is being protected from spambots. You need JavaScript enabled to view it.. We understand that not all exhibitors can make it Thursday, and so a Friday morning arrival is acceptable (just let us know). Unless otherwise specified, exhibitors are expected to staff their booth(s) during normal convention hours (12-11pm Thur, 9am-11pm Fri-Sat, and 9am-6pm Sun).
Those are long hours, and we understand this may be burdensome. Plan on multi-tasking. Exhibitors are encouraged to remain available in their channels while games are still being played, but there are no required attendance periods during the day since it is an online event. This is a judgment call on your part. While a booth is unattended, exhibitors are expected to post an "away message" with an expected return time in their channel.
