Becoming an Exhibitor

Midwest GameFest is a great opportunity to showcase your wares. At our in-person event we have over 700 tabletop hobby gamers, cosplayers, and "nerd culture" enthusiasts looking for the newest games, accessories, and materials. Located in the Greater Kansas City Metropolitan Area, we pull attendees from Missouri, Kansas, Illinois, Iowa, Nebraska, Arkansas, and from all over the country. In the era of COVID-19 things are a little different. With the move to an online convention there is less certaintly about participation in virtual exhibitor spaces.

Booths are purchasable online once your online exhibitor application is approved. Each booth comes with two exhibitor badges, which allows one member of a two-person crew to play games while the other handles the booth. All exhibitors receive mention in our convention program, website, emails, and social channels. Both a text and voice/video channel are provided at the online convention in Discord (see below).

Getting Started

Fill out an Exhibitor Application and let us know your business name, contact info, what you are selling, etc. All applications are subject to approval. We'll get back to you with additional instructions. Note: Submission of an application means that you agree to our terms and conditions.

Important: Exhibitor applications open July 1, 2020 and end October 16, 2020, or until booth space is filled.


VR Convention Space

Normally, we call Stoney Creek Hotel and Conference Center in Independence, Missouri our home (we are part of the Greater Kansas City Metropolitan Area). But in the world of COVID-19 we are hosting the event online via Discord (a free text, audio, and video service) and Mozilla Hubs (a free web-based VR platform). You don't need anything more than the cell phone, tablet, or the web browser you're using right now. The two systems work in concert with some things in Discord, and others in Hubs. There's nothing to download or hook up, but a mic and headset would be great. VR headsets are supported but not required.

Virtual Booths – $25

A virtual booth, this includes a text and audio/video channel on our Discord server, two 4-day exhibitor badges and promotion in our materials.

Note: The convention community is still trying to figure out how to price online booths, and we're giving this our best shot at a low-barrier to entry while still covering costs.

Exhibitor Credit for Prize Donations

Part of your payment can be accepted in the form of tabletop gaming-related merchandise donated as prizes for our benefit raffle. We value prize donations at 50% MSRP (subject to acceptance/approval); we can accept up to 100% of your total bill this way. Electronic merchandise donated in this manner (certificates, coupons, etc) must be received prior to the event arrival unless other arrangements are made. Physical donations can be collected by arrangement if you are located in the Kansas CIty area. Raffle winners can pick up physical prizes at checkout register of participating area game stores (TBD). Claiming Your Discount

Once your application is approved, you will receive an email with a link to purchase your booth and any booth options. You specify your discount code during the booth selection process. So, if you had a bundle of current books whose MSRP was $200, we would count that as a $100 credit toward your booth purchase, but the discount caps at $75. Use the discount code that most closely matches.

Some Fine Print

Every exhibitor is granted a 3-month Class II membership to the Role-players Guild of Kansas City starting the first day of the convention. This is a non-voting, convention-only class of member. For more information, visit the RPGKC website.

By attending, exhibitors agree to abide by our Attendee Terms and Conditions and our anti-harassment policy.

By attending, exhibitors consent to being photographed incidentally (e.g. in the background of another's photo). We encourage attendees to request permission from other before directly taking their photograph. Photographic harassment can lead to expulsion from the convention.

Helpful Application Tips

Login or create an account with the Start Application button above and create a new application to let us know what you have in mind. If approved, you'll get an email with a link to come back, choose booths and options, and to complete payment.

Important: You will need a 2000x2000 pixel logo. If you don't have one available, you can download a placeholder.

Virtual Move-In and Move-Out

Important: Exhibitor load-in begins at 10am Nov 12, 2020.

We'll work with you at our training workshops prior to the event. But on the opening day the earliest arrival/load-in time will be Thursday morning at 10am. That means that folks will be available to assist you with your virtual booth at that time. We might be able to accommodate an earlier time, so coordinate with us via an email to This email address is being protected from spambots. You need JavaScript enabled to view it.. We understand that not all exhibitors can make it Thursday, and so a Friday morning arrival is acceptable (just let us know). Unless otherwise specified, exhibitors are expected to staff their booth(s) during normal convention hours (12-11pm Thur, 9am-11pm Fri-Sat, and 9am-6pm Sun).

Those are long hours, and we understand this may be burdensome. Exhibitors are encouraged to remain in the hall while games are still being played, but are permitted to shutter their booths after 8pm. This is a judgement call on your part, since attendees can't buy wares if they are not available. Exhibitors are expected to post an "away message" while their booth is unattended.
